How to use the quoted lead days to set the “Delivery Date” when sending order


When receiving quotes from suppliers, the supplier can also include how many days it normally takes from the order has been received to it being delivered. In TM Master these days are referred to as “Lead days” or “Delivery days”. The lead days may be set automatically if the quotes are received through an e-commerce portal or if the RFQ excel sheet has been used to import prices (and the lead days have been entered by supplier) But it is also possible to register the lead days manually. Either way the lead days details are available as described below.

  1. Open the order and click the “order line” tab and “after quotation” sub tab.
  2. There are two ways of entering the “Delivery days”/” Lead days”
    1. Enter “Lead days” per quote line
      1. Locate the column “delivery days” in the order line \ quote line grid.
      2. Enter the number of lead days per item
    2. Enter “Lead days” on the quotation header directly
      1. Locate the supplier in question in the “quotation header” grid at the bottom of the form.
      2. Click and enter the lead days in the column “Delivery days”

 

  1. When selecting the preferred supplier, the quoted details are copied from the “quotation” into the order. (Delivery term, Payment term, order line prices, order currency etc). However, the “delivery date” is not set when selecting the supplier. The “lead days” are counted from the day the supplier receives the order, and in some cases, there might be days between the supplier is selected for the order and when it is set on order. The “Delivery date” is first set when the order is sent.  
  2. Once the order has been approved, click the [Send Order] button.
  3. The following dialog (or similar depending on send type used)

 

  1. In the “Delivery date” field group, the following fields are visible
    1. Quoted Lead days: This is the quoted lead days (or the maximum quoted lead days if lead days are entered at line level)
    2. Today + Lead days: Is as the label says the lead days added to today’s date.
    3. “Use” check box, this check box needs to be ticked for the “Delivery date” to be updated to the calculated date. If the “delivery date” is already set in the order head, the check

box will be unticked, and the set delivery date will show in the “Delivery date” field. Ticking the check box will overwrite the date currently set in the order head. When the “Use” tick box is not ticked it is also possible to manually select the “Delivery date” for the order. If no lead days are set for the order the check box will be unticked by default.

  1. Delivery date: This is the “Delivery Date” that will be used for the order.  
  1. Click [Send Order]

Note! Some are using the “Estimated Delivery Date” as the date they communicate to the supplier, and once they receive the order confirmation, they set the “Delivery date” field. There is a setting available enabling clients to set the “Estimated Delivery address” when sending the order and not the “Delivery address”. Here is how to configure the system to set the “Estimated Delivery Address”:

  1. Click [System] [Settings] «Order settings” tab “General” sub tab

 

  1. In the settings group “Customising” (Bottom left-hand side) a setting labelled “Quoted lead days should set”. Default value is “Delivery date”, but can be switched to “Estimated Delivery date”
